The Portable Internet
“Branch-In-a-Box” allows a teller with a laptop computer
to go where the members are – all you need is a phone
line or a cell phone to connect to the Internet.
Unlimited workstation
windows allow you to work on different screens at the
same time. For example, the Drive-Up teller can run a
different posting session for each lane and switch
between them with a single mouse-click. The two windows
can be displayed side-by-side to provide a complete
picture of what’s in progress.
Teller Cash Window gives you the
option to count out your cash by separate denominations,
and stores a cash in/out history to assist tellers in
balancing at day end.
Print checks, money orders, travelers
checks – automatically, with a complete history which is
automatically linked to the integrated bank

The proceeds of a new loan can be
directly disbursed as any combination of checks,

Payments may be set up as cash
(mailed or over-the-counter), payroll-paid, ACH-paid,
share-to-loan transfers, draft-to-loan transfers, or
recurring transfers from other accounts.
If a loan advance increases the
payment amount on a payroll-paid loan, that increased
payment may be scheduled for a future date to give the
member time to increase their payroll deduction.
Loan payments by automatic transfer
are processed daily. If a member is past due, multiple
payments will be taken until the loan is current.
Automatic delinquent fees are charged
directly to the loan. If multiple payments are past
due, a separate fee is charged for each past due
payment.
Insurance on collateral is managed
on-line – track policy numbers and expiration dates. If
the insurance is not renewed, the system helps you
follow-up with the member, including insurance
expiration notices.
Complete Co-Maker Loan Management
package includes the ability to automatically charge out
a delinquent loan to multiple co-makers, and continue to
re-charge any delinquent amounts until the loan is fully
paid.
Charge-to-Reserve package tracks the
complete history of all charge-off loans (charge-off’s,
recoveries, and additional charges) as well as
collection comment and activity history. This
information is never purged – this helps identify bad
risks that try to return to the credit union after many
years.

Every call, notice, and letter
will be documented in the Collection Comments history,
and may be viewed, edited, printed, or downloaded to
send to a collection attorney, agency, or court.
Collection Action screens and
reports help the Collector focus on specific accounts
that require immediate follow-up.
Delinquent notices are printed
automatically every day. The credit union selects the
message text and the frequency of the notices
(10/20/30/40 days).
Complete Delinquent Loan
Analysis Reporting package includes view, print, and
download functions. Downloaded reports may be analyzed
in Microsoft Excel™, or mail-merged with Microsoft Word™
to automatically print collection letters.
Collection System is fully
integrated with the main Credit Union system. Messages
from Collections are shown on the Main Member Inquiry
screen. If Collection Comments are entered for the
account, the link to the Collection Comments is
highlighted in red. All Collection Comments are
immediately available to all CU staff. Never let an
opportunity to speak to a member whose loan is
delinquent slip by!
The DataCenter Operations
staff handles all credit bureau reporting. A full
listing of all data reported is available for review.
Back Office – ACH:
Incoming ACH items are
processed, balanced and posted by the GDS DataCenter –
absolutely no work for
the credit union!
Incoming ACH credits are
warehoused. If the credit wishes, GDS will post certain
items early – for example, we can post Social Security
direct deposits on the first of the month instead of the
third!
ACH stop payment requests are
applied using a “smart rules” process of pattern
matching based on the account number, transaction
amount, and the name of the ACH originator – no more
long hours spent matching stop payment requests!
Bad account numbers are
automatically converted to valid accounts, using a
rules-based pattern-matching system that looks at the
ACH originator name, ID number, and description.
ACH origination is
managed by the GDS DataCenter, with our on-line link to
the Federal Reserve Bank. Members may request that funds be
transferred electronically into and out of other
accounts outside the credit union!
ACH returns are processed by
the GDS DataCenter – no work for the credit union!
All ACH transactions into and
out of the credit union’s clearing account are
summarized daily on a Cash Letter prepared by the GDS
DataCenter and e-mailed to the credit union.
All ACH activity (clearing
account, posting, returns, return credits) are
automatically journalized to the General Ledger.
ACH payrolls may be posted at
any time.
Overdraft protection allows
the member to determine how an overdraft will be
covered:

Loan advance against a
specific overdraft loan.

Overdraft transfer from
another account – shares, drafts, clubs, etc.
-
Up to 9 overdraft accounts may
be defined in a sequence – the system pulls from the
available balance of the first, then second, etc.
-
The system can combine
multiple overdraft transfers to cover one item – e.g.
$20 from shares and $30 from a spouse’s drafts –
transfers from up to 9 accounts may be combined
automatically.
Unposted ACH items are managed
on-line – you may correct an invalid account, force-post
a withdrawal to overdraw an account, return the item
with a specific Return Reason Code, or send a Notice of
Change to the originator to fix a problem with an
account number.

Office – Drafts:
Incoming drafts are processed,
balanced and posted by the GDS DataCenter –no work for
the credit union!
Stopped checks are recognized
using “smart” rules for pattern matching.
Insufficient funds (NSF) items
may be either automatically returned or loaded to a
“work with” screen that allows the credit union select
which items will be returned or cleared. The GDS
DataCenter handles returning the items – all the credit
union has to do is pick “return” or “force-post” from a
pop-up window.
If an NSF item is to be
cleared, the transaction (including an optional NSF fee)
can be posted automatically from the “Work With NSF
Drafts” page.
The GDS DataCenter prepares a
daily Cash Letter to summarize all draft processing
activity and e-mails it to the credit union.
All draft processing activity,
including credits and debits to the credit union’s
clearing account, are journalized directly to the
General Ledger.
Bad account numbers can be
corrected using rules-based pattern-matching (extra
leading or trailing zeroes, check digit errors, etc.)

daily on your choice of two-part continuous forms or
laser-printed three-section paper – fits standard #9
one- and two-window envelopes.
Overdraft Privilege (“Courtesy
Pay”) accounts may be set up to allow draft accounts to
be overdrawn to a pre-determined negative balance (with
a fee posted automatically). An Overdraft Privilege
notice is sent to the member each time an item overdraws
their account. The member has 30 days to restore their
balance; a series of notices (e.g. 15, 25, 35, 45 days)
is produced to remind the member of this requirement.
If the balance is not restored, the account may be
frozen or charged-off automatically per the CU’s policy.
Back
Office – Payrolls:
GDS accepts payrolls in any
electronic format – tape, disk, e-mail, ACH – from any
source. This will reduce the number of “manual” payroll
allotments the credit union has to balance.
Payrolls may be set to take
multiple allotments and disbursements if a member gets a
vacation advance. Payrolls may also be set up to skip
one payroll, and automatically re-instate the payroll
the next time – less maintenance work for the credit
union.
Payrolls can be set up to
automatically request allotment amounts from the
employer using a request file sent a day or two before
the payroll is processed.
All payroll activity is
automatically journalized to the General Ledger.
ACH payrolls are set to be
triggered automatically by an ACH credit from a specific
originator to a specific account (draft or shares). As
soon as the credit is posted, the system runs the
payroll distribution for that account.
GDS Operations handles all
payroll preparation for electronic files – we can accept
Excel spreadsheets, Access databases, “text” files – any
electronic format that contains an allotment amount and
a pointer to the member’s account (account number,
Social Security Number, employer Badge or Clock Number,
etc.)
Manual payrolls (where the
allotments arrive on paper) are easy to balance – a
“work with” screen lets you sort the batch by any index
– name, account number, SSN – making it easy to find and
change allotment amounts.
Payroll-paid loan payments to
do have to be maintained in the payroll file. As soon
as a payroll is posted, the payroll-paid loan payments
are made first, before all other distributions. This
eliminates the need for the Loan Department to update
payroll each time a new loan or loan add-on is posted.
Back
Office – General Ledger:
NCUA and League examiners have
repeatedly praised our General Ledger – all activity is
available on-line, regardless of the date. Full G/L
Trial Balance and financial statements may be requested
for any period or range of periods.
All posted activity is
journalized directly to the General Ledger, resulting in
a minimal number of journal entries. Summarize by
transaction type, teller, branch, or journal individual
transactions.
General Ledger activity is
preserved indefinitely – you can run a complete Trial
Balance or Financial Statements for any prior period –
no matter how far back – even 5 or 10 years ago!
Fully-integrated Fixed Assets
module lets you schedule automated depreciation entries.
Pre-paid assets are expensed
automatically.
Recurring journals may be set
up to post at any time during the month.
The Bank Reconciliation system
can accept cleared-check data from any electronic source
– download Excel files from your bank or Corporate C.U.

reports are archived for easy access – you can view the
reports, print the reports, or use advanced features
like searching for a specific account number or amount.
All statements are also
archived on the system. You can view, print, or search
a member statement on-line.
Report and statement archives
are created immediately, and are stored on-line for a
minimum of 6 months. In the meantime, GDS produces a
monthly CD-ROM of all reports and statements, so that
you can maintain a “permanent” archive.
The CD-ROM uses the standard
Adobe Acrobat format, which makes it easy to find a
specific report, or to find specific information on a
report or statement. Any report or statement may be
re-printed on your HP laser printer.
